Scan and file
Turn receipts into files you can actually find
For occasional receipts, start with iPhone Notes. Build a small capture–name–annotate–search routine before deciding whether a dedicated scanner solves a missing step.

Features and limits
A scanned PDF is not a universal search guarantee
Apple documents camera scanning in Notes, with the document saved as a PDF in the note, and searching text inside scanned documents. For locked notes, only the title appears in search results.
That does not establish that an exported PDF has a searchable text layer in every reader. Check the destination app separately when delivering files to someone else.

Suggested workflow
Finish the whole routine for one receipt
The naming and checking routine below is our editorial suggestion. Start with one ordinary receipt instead of discovering missing corners at the end of the month.
- Create a note and choose Scan Documents from the attachment control. Flatten the paper, avoid glare and check that the date, amount and merchant remain in frame.
- Scan related pages together. Enlarge every page after saving and repeat anything blurred or hidden by a fold.
- Use a consistent title, such as “2026-10-22_Stationery_Receipt”. Add the project, purpose and words you are likely to search for as typed text.
- Find the note again using the merchant and one added keyword. Manually verify any receipt number you depend on; a successful search does not prove every character was recognized correctly.

Suggested workflow
Check the delivery as the recipient would
Treat finding your own record and delivering a usable attachment as separate checks. Searching inside a note does not establish what the recipient can search in a copied file.
- Export or share a sample using the intended delivery method and open it on the destination device or reader.
- Check page count, orientation, legibility and filename. If a searchable PDF is required, search for a merchant or receipt number in that reader.
- Keep the original scan and a separate organized copy. For reimbursement, ask the receiving organization about its document requirements.
Suggested workflow
Choose a dedicated scanner around a missing action
If you repeatedly need batches, a specific export format or a fixed filing destination, name the missing action before browsing our scanner collections.
Try each candidate with the same clear receipt, reflective receipt and multipage document. Record the export result and payment prompts. We have not run that device test and do not rank recognition accuracy here.
Before you finish
- The original scan is complete, with dates and amounts manually checked.
- The title and keywords let you find the file again.
- A sample works in the destination reader, and the recipient is correct before sensitive material is shared.
